The AI that quietly rebuilt an agency.

What happens when an agency runs on a connected AI brain? In roughly five months, NOVA became core to how the AIIMS team works: reading every marketing platform at once, answering in seconds and producing client-ready intelligence on demand.

Five months in production

This is not a projection. It already happened.

NOVA has moved beyond experimentation. It is now actively used across AIIMS to answer questions, analyse marketing platforms, generate reporting and connect information that previously lived in separate systems. Read more about AI systems for business and AIIMS Intelligence.

One question.
One connected answer.

NOVA reads the required systems simultaneously, combines the findings and returns one clear account view.

Connected coverage

Every platform. One brain.

Every bar represents a real system NOVA queried on the team’s behalf: work that previously meant logging in, exporting data and manually reconciling multiple sources.

Reasoning at scale

A full client operation, held in context.

NOVA can reason across campaigns, calls, website activity, CRM data, projects and historical conversations. Prompt caching allows that context to be reused efficiently rather than repeatedly processed from the beginning.

Operating model

How agency work used to happen. How it happens now.

TaskThe usual wayWith NOVA
Monthly multi-channel client reportSix or more separate logins, individual exports, spreadsheet reconciliation and manual deck creation. Commonly two to four hours per client, every month. One question. NOVA reads every required channel and produces a branded, shareable view using figures pulled directly from source platforms.Hours reduced to minutes
“Why did our leads drop this week?”A specialist checks campaign change history, search terms, landing pages, analytics and conversion tracking across several dashboards. Commonly 30 to 60 minutes.NOVA checks the relevant sources, identifies likely causes and returns a clear list of recommended corrective actions.Answered in seconds
Judging phone-lead qualityHundreds of recordings are rarely reviewed in full. Lead quality is often inferred from volume rather than verified from the actual conversation.NOVA reads WildJar call transcripts, distinguishes genuine buyers from low-quality enquiries and identifies negative keyword or targeting opportunities.Call analysis at scale
Whole-account view for a multi-product clientPaid media, SEO, social, CRM and website performance are commonly reported by separate specialists, creating fragmented updates.NOVA holds the connected account context and produces one consistent narrative across channels, products and locations. One connected account story
Agency-wide performance questionQuestions such as ranking every SEM client by cost per lead are time-consuming and often impractical to answer manually.NOVA can assess the connected client roster and return a comparative answer on demand.Whole-agency visibility
The connected brain

The work only connected AI can perform at scale.

It listens to the calls, then improves the ads.

NOVA reads WildJar call transcripts to understand what callers actually wanted. It can separate genuine buying intent from wrong-service, out-of-area, irrelevant and price-only enquiries. That ground truth informs negative keywords, targeting and campaign optimisation.

Every product becomes part of one commercial story.

A client using SEO, Google Ads, Meta, CRM and website development no longer needs four disconnected reports. NOVA ties organic visibility, paid media, calls, leads and delivery together into one account view.

It surfaces what conventional reporting leaves invisible.

Attribution gaps, unmatched revenue, inefficient search terms and changes in lead quality can be identified by comparing data that would otherwise remain isolated across different platforms.

Institutional knowledge stops walking out of the room.

Calls, meetings, account history, project information and previous decisions become reusable operational memory. Teams spend less time reconstructing what happened and more time deciding what happens next.

Time saving, measured

What NOVA does in about 20 seconds.

Each answer can read substantial volumes of live and historical information, invoke multiple platforms and return a usable response in the time normally required to open the first reporting dashboard.

~302K

Tokens read per answer, equivalent to roughly 225,000 words or hundreds of pages of connected information.

~17

Platform pulls per conversation, performed automatically when the answer requires multiple live sources.

~20 sec

Typical measured response time for a complex multi-source question.

Measured task reduction

This used to take hours.

Manual times represent typical agency handling estimates. NOVA times were measured on live use cases.

~2,700

hours reclaimed in five months

Using a conservative estimate of 20 minutes of manual work saved for each of the 8,221 recorded conversations, NOVA represents approximately 2,740 hours of reclaimed capacity. That is roughly 340 working days returned to client work, strategy and execution.

Visibility the agency did not have before.

Self-service intelligence

Ninety-two team members can retrieve a connected client view without waiting behind one analyst or specialist.

Invisible problems surfaced

Attribution gaps, wasted spend and declining lead quality can be identified through connected analysis.

Whole-agency answers

Questions covering the entire client roster can now be answered in seconds rather than treated as impractical.

Fewer manual errors

Figures are read from source tools rather than repeatedly copied into spreadsheets, documents and presentations.

Consistent client reporting

Account teams work from the same connected data and institutional context.

Operational memory

Meeting transcripts, call information, account history and project knowledge remain available for future decisions.

Why AIIMS built NOVA

Most AI tools answer questions.

We wanted one that could understand an entire business.

Every campaign. Every call. Every account. Every decision. Every platform. Every meeting. Every report.

Not as separate pieces of software, but as one connected operating memory.

That is what NOVA became.

Rationale and method

How the numbers were produced.

Measured

Production database counts

Users, conversations, messages, tool calls, artifacts, AI requests and token usage were read directly from NOVA’s production database for the period from 25 February 2026 to 21 July 2026.

Tool calls were counted from the platform tool badges recorded on each answer. Token totals were calculated from per-request usage logs.

Estimate

Hours reclaimed

The hours-reclaimed figure is illustrative rather than audited. It multiplies the measured conversation volume by a conservative assumption of 20 minutes of manual work saved per conversation.

It should be treated as a directional indicator and can be refined using recorded handling times for each task type.
